Adding a New Visitor

When adding a visitor, use the ID Camera to automatically complete some details about the visitor.

  1. From the left navigation pane, click Users.
  2. From the top navigation bar, click Visitors.

  3. The workflow at the top of the page guides you through the process of adding a visitor.

  4. Check if the person has an existing record.

    There are two ways you can do this:

    or

    If the search results return a match for the visitor, select the appropriate tile for the visitor and continue to check their details.

    If the No visitor found message displays for the search results, continue to complete their details.

  5. If you searched for the new visitor using Search by keyword, scan the visitor's identification (for example, drivers' license) using an ID Camera.

    1. Click Scan Now when the visitor's identification is placed in an ID Camera.
  6. Click Create New.
  7. In the Scan Documents section:

    1. Click + for the ID List to find the visitor's scanned identification.
    2. Select the visitor's scanned identification.

      Once selected, the information contained in the scanned identification is used to complete some of the fields on the Visitor Details stage.

  8. The Visit History section displays all visits made by the visitor.

  9. Complete the details in the Visitor Information section.

    If for any reason the following fields are not automatically completed after selecting the visitor's identification from the scanned document, complete the details manually.

    Description

    First Name and Last Name

    Enter the visitor's first and last name.

    Email

    Enter the visitor's email address.

    Tags

    Click Add Tag to include metadata on the visitor's profile.

    Document Number

    The identification number of the visitor's scanned document.

    Document Type

    The type of document the visitor is using to identify themselves.

    Expiry Date

    The expiry date of the visitor's identification document.

  10. Complete the details in the Identification Information section.

    The following fields may display in the Identification Information section if they have been included when the system was configured. Other supporting identification documents may be required to be entered, depending on your company's visitor policy.

    Only complete the fields that are needed.

    Field

    Description

    Identity Card

    Enter the details of the visitor's identity card.

    Drivers License and/or Passport

    Enter the identification number of these supporting identification documents.

    Gender

    Select the visitor's gender from the drop-down list.

    Address

    Enter the user's home address.

    Date of Birth

    Enter the visitor's date of birth or use the calendar to select the date.

    Place of Birth

    Enter the visitor's place of birth.

    Person To Contact In Case Of Emergency

    Enter the details of the person to contact if there is an emergency involving the visitor.

    Emergency Contact Number

    Enter the telephone number of the person who is to be contacted if there is an emergency involving the visitor.

    SIP Number

    Enter the session initiation protocol number (SIP) that will be used by this visitor.

    Title

    Enter the title of the visitor's role within their organization.

    Immediate Supervisor

    Enter the name of the visitor's immediate supervisor.

  11. Click Next.
  12. Select the Visitor Access Verification type.
  13. In the Visit Information section:

    1. Take a photograph of the visitor.

      You can click Use Scan Documents, if the visitor's identification document includes an image of the visitor.

      or

      Click anywhere in the Capture Image box to upload a photo of the visitor from a file or use your computer's webcam to take a photograph of the visitor. Save the photo.

    2. Click Next.
    3. Enter the Purpose of the visit.
    4. Click Next.
    5. Select the Duration of the visit.

      Select one of the default options.

      Or choose Custom to enter the From and To dates and times or use the calendar.

    6. Click Next.
    7. Find and select the main person with whom the visitor will be interacting with, during their visit.

      Select the checkbox(es) next to the person's/peoples name to assign them to the visitor.

      Select the Click to notify the host checkbox to inform the assigned person/people that the visitor has arrived.

    8. Click Next.
    9. Click Add Credential to assign the visitor's credentials using the enrollment wizard.
  14. Click Reset.
